Start before the invoice arrives
A list of received invoices can only tell you about documents someone entered. Start with a list of expected bills instead: the service, location, expected arrival, due date and person responsible. A spreadsheet can do this too; the important step is making a missing bill visible before it becomes overdue.
In attenlo’s owner-only test pilot, bills can be entered manually or imported by CSV, with separate records for monthly, quarterly or annual billing periods. The expected bill and its document stay separate. Uploading a document does not approve its contents.
Give the next action a name
For each bill period, ask a specific question: is the bill missing, do the details need review, is an approval pending, or does a recorded payment need its receipt checked? Assign that action to a person rather than leaving a generic reminder for everyone.
For example, a broadband bill expected on the 3rd but due on the 10th should trigger document follow-up. It should not be marked unpaid merely because a provider could not be reached, or paid because a record stopped appearing.
A recorded payment still needs checking
Today, payments happen outside attenlo. In the pilot, a team member can record a payment and attach a receipt for review. Keep ‘payment recorded: needs checking’ separate from ‘payment record checked’. A person checking a receipt does not mean a bank independently confirmed settlement.
Bharat Connect payment execution is in development. The intended next step is to complete eligible bill payments within the same workflow; no connected payment execution is available in the pilot.
When a spreadsheet is enough—and when to move
A small, stable register with one responsible person may work well in a spreadsheet. Consider a shared workflow when bills arrive through several people, locations need different owners, approvals get lost, or payment evidence takes repeated chasing. The question is not how many rows you have; it is how often the team cannot tell who should act next.
