Ask which event starts the work
An invoice-led workflow may begin when a document is entered or received. An expected-first register begins with a known recurring obligation and an expected cycle. If no document arrives, the expected record still gives the team something to investigate.
This is a distinction between operating approaches, not a claim that every accounts-payable product has the same limitations. When evaluating a specific product, test its current behaviour with a missing document instead of inferring capability from its category or marketing label.
Decide which system owns each fact
Name the authoritative place for the expected register, reviewed bill details, approval decision, payment result and accounting record. Keep references that let authorised people trace the handoff. Avoid maintaining two editable ‘paid’ fields without defining how a disagreement is resolved.
Your finance team remains responsible for accounting treatment, coding, posting and reconciliation policy. A bill list is not automatically the statutory ledger, and a checked receipt is not a substitute for independent bank confirmation of settlement.
Work through a missing-document example
Illustrative example: a recurring service is expected this month, but no invoice has arrived. The obligation owner follows up while the document workflow has nothing new to process. When the bill arrives, the reviewer matches the account and period before requesting a decision.
After payment outside the register, a receipt is linked for human review. If the accounting record and operating record differ, retain the discrepancy and assign a person to resolve it. Do not overwrite one system merely to make two screens agree.
Define a handoff before expecting an integration
Write the minimum handoff details: stable bill reference, reviewed document, entity/location, period, amount, due date, decision and receipt reference. Decide what happens when a document changes, an export is repeated or an outcome is uncertain.
A CSV transfer is a manual handoff, not a live sync. Test it with a small synthetic sample and check precision, duplicates, permissions and export contents. Do not connect sensitive customer records to an unvalidated integration just to demonstrate automation.
