A recurring-bills checklist for Indian SMEs

Check premises and utilities

List electricity, water, broadband, telecom and rent for each location where they apply. Different premises or service accounts need separate rows, even when the provider is the same. Capture the expected bill date as well as the actual due date.

For variable bills, leave the amount blank until reviewed rather than carrying last month’s figure forward as fact. Keep any shared-service allocation decisions with the relevant finance process.

Check subscriptions and recurring services

Review software licences, connectivity, security, maintenance and other recurring services you actually use. Record monthly, quarterly and annual cycles, renewal dates and notice periods from the current agreement. A renewal decision may need attention before the payment due date.

Include the internal owner who can confirm whether a service is still required. A card payment happening automatically does not confirm the subscription is useful or that its supporting document was collected.

Add your business-specific obligations

Add insurance premiums, equipment service plans and other periodic commitments where relevant. Some schedules depend on your contracts, entity, location or professional advice. Verify those dates with the responsible adviser rather than treating this generic checklist as a statutory calendar.

This checklist does not supply tax deadlines, payroll rules or regulatory advice. It is a way to organise obligations your business has already identified.

Use the columns consistently

The CSV includes category, recurring bill or scheduled payment, entity, location, frequency, expected bill date, due date, reviewed amount in INR, person responsible, approver, document status, payment status, bill or receipt reference and next action. Dates and amounts start blank. Fill them from reviewed documents and record uncertainty explicitly.

Suggested document states: expected, missing, received, needs review. Suggested payment states: no payment recorded, payment recorded: needs checking, payment record checked. Say who checked the receipt; do not imply bank confirmation. Record a problem reaching the provider in the next action rather than treating it as a payment outcome.

Run the first review

Choose one location and complete its register before copying the structure elsewhere. Confirm each owner understands the next action. Check whether any bill is due soon but has no document, whether an approval is waiting and whether a reported payment lacks proof.
